Personal information, MINC and other identifiers

1. What name should I use in my source verification request?  

The name on your passport is your "official" name. Ensure you use this exact name when completing your online registration. Any inconsistencies between the identity document such as your passport, which contains your current legal name, and the name on the medical diploma or other credential documents, must be supported by a legal name change document (for example, certified copy of marriage certificate and translation, if applicable). Send in the necessary documents for ANY name changes. For more information on identity document requirements, please refer to the Identity Document – Hardcopy Requirements section in the PCRC Online User Guide.

2. When MINC has created a number for the applicant, will the MINC number be updated automatically in PCRC?  

When an applicant receives a Medical Identification Number for Canada (MINC), the information can be updated through the PCRC Online account or by sending PCRC an email and we will update the information on your behalf.

3. Do I need a MINC, USMLE/ECFMG or EICS number to make a source verification request?  

Having a MINC, USMLE/ECFMG or EICS number is not a requirement when submitting a source verification request.

Submitting an electronic application

1. I repeatedly tried to log into PCRC and now I get a "Contact Your Administrator" message. What happened?  

After three unsuccessful login attempts into PCRC Online, you are "locked out" for security reasons. You must contact PCRC directly and the Service Desk Agent can access your account and unlock it, allowing you to log back into PCRC Online.

2. When I am in PCRC Online, I can see all of the links at the left-side under SVR Menu, but some of them don't work.  

Only links for the document types you selected on the Document Selection page will be listed as "accessible" under SVR Menu . For example, if you have not selected the check box beside License/Registration, the link will not be available to you. Return to the Document Selection page if you need to enter information for these other document types.

Sending your documents to PCRC

1. Can I send my documents on different dates, for example my transcripts first and diploma after? 

Once you register with PCRC Online, you can log in at any time to add more documents to your source verification request. You will only need to pay the account fee of $250.00 CAD when you first register, not for any additional documents that you send at a later date. For example, if you submit your medical diploma upon registering with PCRC Online, you will pay the $250.00 CAD account fee and the $100.00 CAD fee for your medical diploma, for a total fee of $350.00 CAD. If, at a later date, you wish to submit your transcript, you would only pay the medical document fee.

2. Can my friend and I send the documents in the same envelope? 

To avoid any delays in processing your request, each applicant must send the source verification request in a separate envelope.

Cancelling or making changes to your application

1. I made a mistake during my registration; how can I make the correction after submitting the form?  

You can change some of your general “account information” (such as username, email and password recovery) or your “contact information” (such as address) after you submitted this information to PCRC. However, you cannot change your name; you will be required to contact PCRC directly if this information requires modification.

2. Can I cancel my request after I have submitted the electronic information through PCRC Online?  

You can only delete an SVR that has not yet been submitted.

Following up on your application

 1. When will I know if or when you have received my application? 

We will send you an email to inform you that we have received your documents. Please note that documents sent by mail are usually received within three to ten days inside Canada, and between 20 to 30 days outside of Canada. Documents sent by courier are usually received within two to ten days.

2. How long will it take for my application to be processed? 

The time required to complete a source verification request varies for each applicant. Some aspects of the process, such as the time required by your medical school to verify your medical education credentials, are beyond the control of the PCRC. Typically, PCRC staff conduct an initial review of the documents within two to ten days after receiving them. Documents that pass the preliminary review will be sent for source verification within 24 hours to the medical institution that issued the credential.

3. Where can I check the status of my source verification request?  

Once you have received an e-mail from PCRC stating that your documents have passed the preliminary PCRC review, you can check the status of your request through PCRC Online. Log in using your username and password. Select View Report from the Account Menu, Select View Report Without Images and a complete log of your documents will be displayed with the status of each document submitted. You can also look at the status of an individual document by selecting the appropriate document from the View Report page and selecting “History”. View the Status legend for more information on the statuses you will see in your PCRC Online account.

Fees

1. How can I pay the PCRC fees?

 PCRC fees can be paid through PCRC Online using a Visa or MasterCard. Information on methods of payment and fees can be found here. Prepaid or secured credit cards (Visa or MasterCard), available from local financial institutions, are also acceptable forms of payment. For more information, visit the Visa or MasterCard website.

2. Can the source verification fees be applied to the Tuition Tax Credit? 

No.

4. How do I get my credit card receipt? 

After you submit your credit card payment online, an e-mail will be sent to you; this is your official credit card receipt.
